1. Who processes your data?

2. What data we process, for what purpose and on what legal basis

Your question or message to us

When you contact us through the contact form, by e-mail or by telephone, we process the data you provide yourself: your first name and surname, your company name, your e-mail address, your telephone number, the sector you work in and the content of your message.

We use that data solely to answer your question, send you a proposal or arrange an appointment. The legal basis is the taking of pre-contractual measures (Article 6(1)(b) GDPR) and, where a general enquiry is concerned, our legitimate interest in following up commercial contacts (Article 6(1)(f) GDPR).

The contact form sends your message via our web server to info@konax.com. To prevent abuse, the server temporarily keeps track of how many messages have been sent from your IP address; that count expires after one hour. The submission itself is not stored separately on the server: it only reaches our mailbox.

Customer and supplier administration

If you are a customer or a supplier, we process the contact details of the relevant contact persons in order to handle quotations, orders, deliveries, maintenance, invoicing and service. The legal basis is the performance of the contract (Article 6(1)(b) GDPR) and our legal obligations regarding accounting and invoicing (Article 6(1)(c) GDPR).

Technical data from your visit to the website

As standard, our hosting partner records in the server logs your IP address, the time of your visit, the page requested and your browser type and operating system. That data serves only to keep the website running, to trace faults and to prevent misuse. The legal basis is our legitimate interest in a secure and functioning website (Article 6(1)(f) GDPR). We do not use this data to identify you and not to track your browsing behaviour.

3. Cookies

This website places no cookies. We use no analytics tools, no tracking pixels, no advertising cookies and no social media plug-ins. Nor is anything stored in your browser's local storage.

That is why you will find no cookie banner on this site: there is nothing for which we need to ask your consent. Should we add cookies later that are not strictly necessary, we will ask for your consent in advance and update this policy.

4. Who else receives your data

We do not sell your data and we do not pass it on for the commercial purposes of third parties. Your data reaches only:

• our hosting partner, which manages the website and the server logs technically;
• our e-mail and office software, through which we receive and answer your message;
• our accountancy firm, and the authorities where the law obliges us to do so.

With parties that process personal data on our instructions we conclude a data processing agreement setting out their obligations.

Google fonts

This website loads its fonts through Google Fonts. As a result, your browser connects to Google's servers (fonts.googleapis.com and fonts.gstatic.com) and your IP address is passed on to Google, which may also process that data outside the European Economic Area. No cookies are placed in the process.

5. How long we keep your data

• Questions and messages that do not lead to a working relationship: up to 2 years after our last contact.
• Customer and supplier data: 7 years after the end of the relationship, in line with the statutory retention period for accounting records.
• Server logs: 12 months at most.

After that we delete the data, unless longer retention is required by law or is necessary to establish, exercise or defend a legal claim.

6. Your rights

The GDPR gives you the following rights over your personal data:

• Access — you can ask which data we process about you and obtain a copy of it.
• Rectification — you can have inaccurate or incomplete data corrected.
• Erasure — you can have your data deleted when we no longer need it.
• Restriction — you can have the processing suspended for as long as a dispute is ongoing.
• Objection — you can object to processing based on our legitimate interest, and at any time to direct marketing.
• Portability — you can request the data you provided to us in a common digital format.
• Withdrawal of your consent — if you have given us consent, you can withdraw it at any time, without affecting the processing that took place beforehand.

You exercise these rights by e-mailing info@konax.com or writing to Konax BV, Hondekensmolenstraat 56, B-8870 Izegem. We may ask you to prove your identity, so that we do not hand your data to someone else. You will receive an answer within one month.

7. Lodging a complaint

If you are not satisfied with the way we handle your data, please tell us first — we are happy to look for a solution. In addition, you always have the right to lodge a complaint with the Belgian supervisory authority:

8. Security

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. Traffic with this website is encrypted via HTTPS. Access to your data is limited to the staff who need it for their work.

9. Changes to this policy

We may amend this privacy and cookie policy, for example when we offer new services or when the rules change. The date at the top of this page shows when we last updated the policy. In the event of significant changes we will notify you actively.

10. Liability for the content of this site

This site has been compiled with care. Even so, we cannot guarantee that all information is complete, accurate and up to date at all times. No rights can be derived from the information on this site. If you notice an inaccuracy, please let us know at info@konax.com.
